LIST OF FREQUENTLY ASKED QUESTIONS ON THE
RECRUITMENT PROCESS AT GAVI
I.
APPLICATION STAGE:
1) Why am I unable to use my reference number?
The reference number is specific to one email address only. Please use the same
address to register in the candidate portal. If this is not possible, please contact
[email protected]
2) How long does the application process take?
Because Gavi follows a fair and competitive recruitment process, we may take some
time to assess and respond to your application. The flowchart below shows the
different recruitment steps:
If you have applied for a position, please check the candidate portal regularly for any
updates. If you have not heard from us within two months of the application deadline,
please consider that you have not been shortlisted.
Note that due to the high level of interest in our advertised positions, we do not
have the capacity to respond to queries about individual applications.
3) Do I need a work permit to be able to apply for a job?
Applicants for jobs based in Geneva, Switzerland: you do not need a valid work permit
to apply for a job at Gavi headquarters in Geneva, Switzerland. As Gavi is recognised
as an international organisation by the Swiss authorities, we will help successful
applicants obtain a ‘carte de legitimation.’ This allows Gavi staff to stay and work in
Switzerland and travel within the Schengen area, until the end of their contract. More

visa
process
is
available
for
new
employees.
Applicants for jobs based in Washington, DC, United States: if you apply for a job at
the Gavi office in Washington D.C., you will require a valid work visa that allows you
to work in the United States.
4) Will I get a notification email once I have applied?
Yes. You will receive an email confirming receipt of your application.
5) I would like to apply for another role? Do I have to use the same documents or can I
upload other ones?
Yes, you can apply for another position but we advise that you upload new documents.
If not, documents uploaded for your first application will automatically be used for all
your other applications.
6) I have uploaded the wrong cover letter / resume. What can I do?
You can change your resume in your profile. However, you will not be able to update
your cover letter. If you would like to make changes to your cover letter, please
contact [email protected]; the revised document should be attached to your email.
7) When will I hear back about the status of my application?
Please see our response to Question 2.
8) My status remains the same for several months. What does this mean?
If your status remains the same, the application process is still on-going. Typically, the
status of unsuccessful candidates changes to ‘rejected’ once the position has been
filled. However, if you have not heard from us within two months of the vacancy’s
closing date, your application has not been successful.
9) What happens if I click on ‘withdraw’? Can I reapply for the same post?
You cannot re-apply for the same post once your application has been withdrawn. If
you clicked on ‘withdraw’ by mistake, let us know by writing to [email protected].
II.
ONLINE VIDEO:
1) What is an online video?
The online video, also known as ‘Sonru’, is an automated video interview. You will be
sent a link to the video in the email requesting an interview. In a Sonru interview, you
are invited to respond to a set of questions while facing an online camera. Please note
that you will not receive the questions in advance.
2) Can I record my answers several times?
No. The interview is live and can only be held once. However, you can make test
recordings to get acquainted with the system. Please be aware that you should record
your answers on the spot.
III.
WRITTEN TEST:
1) How long does the written test take?
The written test can take from 45 minutes to 3 hours. The average time is typically 80
minutes.
2) Can I write the test from home?
Yes. First, you should inform us when you will be available to take the test. We will
then email you the test at the specified date and time. It should be completed and
sent back to Gavi within the given time frame. Late submissions will be penalised.
3) What kind of questions are asked in the written test?
The written test contains job-related technical questions. If necessary, we will provide
any additional information about Gavi.
IV.
PANEL INTERVIEW:
1) Do I have to come to the Gavi office for the panel interview?
Not necessarily. Panel interview can be conducted via video conference or in person,
depending on the type of vacancy and the candidate’s location.
2) Will I get a feedback on the outcome of my interview?
We try our best to provide personalised feedback to all candidates who reach the
panel interview stage.
V.
SECOND ROUND INTERVIEW:
1) Where is the second round of interviews conducted?
The second round of interviews is conducted at Gavi headquarters in Geneva. If you
are applying for a job in DC, you will be invited to the office in DC.
2) How long do the interviews take?
Depending on the number of people who will interview you, the interview(s) could
range from a few hours to an entire day.
VI.
REFERENCE CHECK:
1) Will you contact all the referees that I have listed?
We may or may not contact all the referees listed, depending on the type of vacancy.
2) Will I get an offer letter before the reference check?
No. An offer letter will be issued only after a reference check has been issued.
VII.
OFFER:
3) If successful, will I receive an offer via email or as a hard copy?
You will receive an offer letter via email, which you would need to sign, scan and send
back to us.
4) Will I need to send other documents after signing the offer?
Yes. We may ask you to fill and scan other forms listing your bank details, family
details, emergency contacts, etc
5) Will I get documents for the visa process along with the offer?
Once we receive the signed letter of offer from you, we will start the visa process
depending on your contract’s start date.
